Sales prospecting: how to free your team from low-value tasks in 2026

A salesperson is not recruited to sort forms.

They are also not supposed to spend their day guessing which leads deserve a call, following up with lukewarm prospects, copying information into a CRM or looking for the right context before picking up.

However, this is exactly what happens on many teams.

commercial prospecting then becomes an accumulation of micro-tasks. A little qualification, a little follow-up, a little CRM, a little research, a little reminder too late. And in the middle of all this, less time to sell.

The 2026 challenge is not to replace salespeople. It is to free them from what does not require their commercial intelligence.

The real problem of commercial prospecting

Commercial prospecting is not just the action of contacting new prospects.

In a modern activity, it also includes:

  • capture leads;
  • understand their needs;
  • check their level of maturity;
  • prioritize requests;
  • follow up at the right time;
  • prepare the context;
  • direct you to the right salesperson;
  • turn interest into a date.

If everything relies on the human team, salespeople become the universal filter of the funnel. They absorb noise, duplicates, off-target requests and not-yet-ready prospects.

It's expensive. And above all, it tires the team out of bad conversations.

Why your salespeople sell less than they should

Salesforce published a rather telling observation: salespeople spend only 28% of their week selling, the rest going to non-directly commercial tasks such as deal management or data entry.

Although the figure varies between organizations, the problem is very recognizable.

sales time is fragmenting.

A lead arrives from Meta Ads. Another one from Google. Another from the site. Some are hot. Others are curious. Some never respond. Some should have been called back within two minutes.

Without a system, the team spends its time compensating for holes on the course.

What to automate first

Not everything has to be automated.

A good sales conversation, a negotiation, a fine reformulation, a sensitive objection: this remains human.

On the other hand, several tasks can be removed from the daily life of salespeople without degrading the experience.

The goal is not to make prospecting disappear. The goal is to remove the mechanical work that prevents real sales.

The 5-step method

1. Separate sorting tasks and sales tasks

Start by listing what your salespeople do before a real useful exchange.

Anything that looks like sorting can be questioned:

  • check if the lead is on target;
  • ask for the need;
  • ask for the timing;
  • follow up for the first time;
  • find the source of acquisition;
  • classify the lead.

These are important tasks, but not necessarily high-value business tasks.

2. Define a lead who deserves human time

The key question is simple:

“At what point should a salesperson intervene?”

The answer may depend on budget, need, sector, area, emergency or source.

This step is similar to sales qualification: without clear criteria, you do not release your salespeople. You're just moving the mess around.

3. Reply while interest is hot

Delay kills a lot of leads.

A prospect who has just clicked, filled out a form or sent a message is in a short attention window. If you wait too long, he'll move on to something else.

This is exactly what speed-to-lead is about. Responding quickly isn't always enough, but responding too late is almost always costly.

4. Route according to context, not just availability

An enterprise lead, an out-of-area lead, a very urgent prospect and a curious person attracted by broad advertising should not follow the same path.

The lead routing allows each request to be sent to the right suite: sales, nurturing, own refusal, resource, additional qualification or appointment.

This step prevents salespeople from inheriting everything, all the time.

5. Convey context, not just contact

A salesperson who receives a first name, a telephone number and an email must repeat the diagnosis.

A salesperson who receives the need, source, urgency, estimated budget, objections and conversation summary can get into the right conversation much faster.

The difference is enormous.

The role of AI in this organization

AI is useful when it does repetitive work consistently.

She can respond quickly, ask the first questions, reformulate, classify, follow up, summarize and trigger a follow-up. It can also operate outside of hours, which matters a lot when campaigns run continuously.

McKinsey points out that high-performing salespeople spend more time with customers, and that automating non-client-facing tasks can free up time for interactions that actually drive performance.

The nuance is important: automating does not mean dehumanizing. This means reserving humans for moments when they provide something that the system cannot provide.

What Formlyy can change

Formlyy acts as a WhatsApp AI Setter between the lead and the sales team.

The system engages the prospect, asks useful questions, filters weak requests, follows up when there is no response and transmits qualified leads with the necessary context.

For a sales team, this changes the nature of the inbound flow.

Instead of receiving a pile of contacts to sort through, she receives less noise and more already-directed conversations.

The salesperson can then focus on what really matters: understanding, creating trust, handling objections and closing.

Mistakes to avoid

The first mistake is to automate all sales talk.

A cold, generic and overautomated sequence can damage the relationship even before the first exchange.

The second mistake is not defining the qualification criteria.

If the system doesn't know what a good lead is, it can't free up the team. It will only speed up the transfer of bad leads.

The third mistake is forgetting the measurement.

Track qualification rate, appointment rate, show-up rate, closing rate and time saved by the team. Otherwise, you won't know if automation really improves business.

FAQ

Frequently asked questions

Should we automate all commercial prospecting?

No. It is necessary to automate repetitive tasks, initial sorting, simple reminders and context preparation. High-value exchanges must remain human.

What is the first site to be addressed?

Most often: the first response and initial qualification. These are two places where leads get lost quickly.

Can AI qualify better than a salesperson?

It can qualify more quickly and more regularly on defined criteria. The salesperson remains better at understanding nuances, handling objections and selling.
